Job Summary:
In this role, you will assist more senior Subcontract Management Professionals in completion of routine duties, closeout, data gathering, document preparation, presentations, and training sessions. You will prepare status reports, monitor areas of subcontract performance, and inquire on and investigate subcontract problems. Your work will contribute to efficient project execution and compliance with contractual obligations.
Major Responsibilities:
Subcontract Management
Acts on own initiative on assigned subcontracts of increasing value and complexity
Gathers and compiles support data for the preparation of documents and the management of subcontracts
Assists Subcontract Manager or more senior Subcontract Professionals in completion of the various tasks required by the Contract/Subcontract Management Guidebook, the integrated Work Process Procedures, and automated subcontract management systems
Monitors areas of subcontract performance, as assigned
Conducts investigations and inquiries into specific subcontracts problems, as assigned
Organizes materials for the preparation of meetings, presentations, and training sessions, and prepares periodic status reports
Works with Digital Supply Chain and other Automation Tools
Subcontract Formation
Duties and responsibilities involve the formation and award of small value, routine-type subcontracts
Assists with negotiations in commitment of contracts, but directs negotiation in small value contracts
Develops and issues subcontracts and services agreements as assigned
Prepares bidders’ lists and pre-qualifies bidders
Forms bid request packages and issues bid request packages to approved bidders
Coordinates bidders’ questions and answers to those questions
Receives bids and evaluates bids commercially
Prepares Commercial Bid Summary and recommendations
Prepares and maintains control and status reporting documents
Communicates with Engineering, Construction and/or Operations to assist and/or guide them in the preparation of the Service Requisitions to achieve the understanding needed to process these requisitions
Prepares and organises assigned meetings, such as pre-bid, bid clarification and pre-award meetings
After reviewing plan and agenda with supervisor, conducts meeting and prepares and issues meeting notes delineating important statements, required actions and schedules
Education and Experience Requirements:
Requires bachelor's degree (or international equivalent) and 2-5 years of relevant experience or 6-9 years of relevant work experience
Required Knowledge and Skills:
Ability to work independently and manage multiple priorities in a fast-paced environment.
Ability to establish collaborative and effective working relationships with internal stakeholders.
Demonstrated oral and written communication skills.
Basic knowledge of contract regulations, policies, and practices.
