Position Summary
The Workday Data & Position Governance Lead is an HR Operations role accountable for the governance and practical delivery of Workday workforce data management and Position Management across the organization.
The role acts as the Global Process Owner (GPO) for Workforce Data Management, defining the global data template and standards (what data exists, where it lives, and how it is used), governing changes to the data model, and driving data quality and consistency.
In addition, the role owns the Group framework and operating discipline for Position Management in Workday (position lifecycle rules, controls, exception handling, reporting), partnering closely with HRBPs, Finance, Total Rewards, HR Services, and HRIS/IT to ensure reliable workforce data and position information for budgeting, organizational changes, and reporting.
The role balances conceptual ownership and governance with hands-on involvement for complex or sensitive cases. Routine/high-volume transactions are primarily executed by a Workforce Data / Positions Administration Specialist reporting into this role.
Key Responsibilities
1) Workforce Data Management GPO (Global Template & Standards)
Own the global workforce data template in Workday: define the authoritative list of worker/position/org data elements, standard definitions, and global rules (mandatory vs optional, allowed values, naming conventions).
Maintain and govern the Workforce Data Dictionary (definitions, owners/stewards, source of truth, downstream consumers, privacy classification as applicable).
Define decision rules for what data is “in scope” vs “out of scope” in Workday (and where out-of-scope data should live), ensuring a clean global architecture.
Establish and run workforce data governance routines (data standards, approvals for new fields/changes, documentation, and communication to stakeholders).
2) Workday Data Quality, Controls & Monitoring
Be accountable for Workday workforce data quality (accuracy, completeness, consistency), with clear controls, periodic checks, and issue remediation routines.
Define and monitor key data quality KPIs (e.g., completeness on critical fields, error rates, correction cycle time, recurring root causes).
Own the remediation approach: coordinate corrections (via the Specialist and/or direct handling for complex cases) and drive root-cause fixes (process, training, validation rules, upstream inputs).
Ensure traceability and audit readiness for material data changes (what changed, why, approval trail, and impact awareness).
3) Position Management Governance & Delivery
Own and maintain the Group Position Management framework (standards, lifecycle rules, controls, documentation, escalation paths).
Oversee the end-to-end discipline of position creation and maintenance, ensuring alignment between approved governance decisions (budget/headcount) and system execution.
Partner with Finance on FTE/position reconciliations and budget-cycle readiness; ensure shared definitions and clean reporting outputs.
Personally execute and/or quality-review complex or high-impact position changes (reorgs, mass changes, sensitive corrections, cross-functional exceptions), while delegating standard updates to the Specialist.
4) Change Control, Enhancements & Release Governance (Data + Position)
Act as the HR Ops owner for governance on changes impacting workforce data/Position Management: evaluate requests, clarify requirements, assess impact, and drive prioritization.
Coordinate Workday release impacts on workforce data and Position Management (changes to validations, reporting fields, security, business process steps) with HRIS/IT where needed.
Support testing approach and quality gates for changes that affect data integrity (UAT readiness, test cases for critical fields, sign-offs).
Maintain a controlled backlog for workforce data and position governance improvements (controls, reporting, automation, validation logic, documentation).
5) Stakeholder Enablement, Training & Service Model
Serve as the primary expert for workforce data and Position Management governance, providing guidance to HRBPs, HR Services, Total Rewards, and Finance on standards and correct usage.
Lead and coach the Specialist to ensure stable execution, consistent quality, and effective workload split between business-as-usual and complex exceptions.
Minimum Requirements Strong 7-10y experience in HR Operations, HR data governance, HRIS-adjacent process ownership, and/or workforce administration in an international/matrix environment.
Solid Workday knowledge, with demonstrable comfort in workforce data structures and governance discipline; Position Management expertise preferred.
Experience supporting budget cycles, headcount/FTE reconciliations, or governance forums where headcount decisions are made.
Proven ability to balance governance ownership with practical operational execution for complex cases.
Strong analytical and problem-solving mindset (root cause, prevention, controls)
Strong stakeholder management across HR, Finance, Total Rewards, and service teams; able to influence without formal authority.
